Almost nobody planning a send-off is the person being sent off. Whoever is reading this is the friend who ended up organising it: chasing twelve people for their dates, fronting money that will come back in dribs and drabs, and quietly worrying that one of them will hate whatever gets chosen. San Blas is a good answer to that problem for one specific reason — there is nothing to organise once you arrive.

Why it works for a group

There is no strip of bars to plan around, no venue to book, no reservation at nine that everyone is late for. The day is islands, water and beach, and the group physically cannot split off into three different plans. For a send-off where the guest of honour is the whole point, that matters more than any list of features: everyone stays in the same place, all day, without anyone having to enforce it.

The part that trips organisers up

Two things, and both are about timing rather than money. First, pickup in Panama City is between five and a quarter to six in the morning, which quietly rules out a huge night beforehand — plan the big night for the return, not the eve. Second, headcount. It decides which cabin you get and how many boats leave the pier, and it is the number most likely to move in the last week. Give us the real figure, not the optimistic one.

What to send in the first message

Group size, dates, and whether everyone is sleeping over or some are only doing the day. That last one changes the shape of the booking more than people expect, so say it upfront.

Can we bring alcohol?

Drinks aren’t included, so anything you want to drink comes with you. Space is the real limit: large ice chests and beach coolers don’t fit on the boats, though a small cooler for an overnight stay is fine. Buy in Panama City — there are no shops on the islands beyond basic snacks, and no ATMs anywhere in Guna Yala.

What happens if someone drops out at the last minute?

Tell us the moment you know. Cabins and boat seats are held against a number, and a change of one or two is usually absorbable, while a change of five is a different booking. What you cannot do is fix it on the morning, since by then the vehicles have already been assigned.

Does the whole group sleep in the same place?

That depends on size and on what you want. A group can be put in a shared dormitory, which keeps everyone together and is the cheapest way to stay over, or split across private cabins on the same island. Say which you’d prefer and we’ll tell you what’s actually available for your dates.

Can some of us just do the day and skip the night?

Ask before you assume it. A day tour and an overnight stay come back on different days and sometimes on different boats, so a split group means two bookings that have to be coordinated rather than one. It’s often possible, it’s never automatic.

Will we have phone signal to keep everyone together?

Mostly no, and it’s worth telling the group in advance. Agree meeting points out loud before you get on the boat, and warn anyone at home that messages will stop for a day or two.
